Where they started
Like most agencies, 360 Creations kept its inventory the way partners sent it: an Excel rate card and a PowerPoint deck of photos for each city. The Bengaluru, roadside DOOH, Hyderabad and Pune decks alone ran from 33 to 60 slides each, with photos only in the decks.
The sheets didn't share a layout: headers on different rows, one price merged across a whole mall's screens, cities spelt several ways. Building a proposal meant copying from all of them, and following it up after the yes meant photos and updates scattered across WhatsApp and email.

Inventory in, proposals out
We imported their rate cards and decks into Gleqta. The import read each sheet's layout, asked about anything it wasn't sure of, and matched every photo in the decks to the right screen.
- 110 sites and 391 screens across four cities, each with its size, format and rates
- 208 photos placed on the right screens, straight from the decks
- Malls and venues linked to the shared catalog, so footfall and locations come with them
Now the team picks sites from one list, across cities and partners, and generates the PowerPoint and Excel for a client in minutes. When a partner sends a new sheet, it updates the inventory instead of starting another file.
Run it
Every site tracked from booking to live.
An accepted proposal becomes a campaign
When a client says yes, the accepted proposal is converted into a campaign with its sites, dates and prices carried across, so nothing is retyped into a tracker.
- Every site is tracked from booked to live to completed, by owner
- A missing start or end proof, or a site starting soon with no creative, is flagged early
- Double bookings are caught before they happen
Prove it
Show the client every site went up.
Proof from the site, on one link
Start and end photos come in from the phone app at the site, or from partners and are added in one go. Each site goes live from its proof, so the status is never typed by hand.
- The team sees which partner still owes a photo, with a message ready to paste into WhatsApp
- The client gets one link that fills in as sites go up, with no prices and no partner names
- A PowerPoint proof report, one slide per site, when a client wants a file
